User Guide

Step-by-step walkthrough for using ExpertAIse to capture and retrieve expert knowledge.

1

Open the application URL in your browser. You will be redirected to Keycloak for authentication. After logging in, you land on the main interview page.

2

Complete your profile

Click your avatar in the sidebar to open settings. Fill in your name, company, and any domain expertise. This helps the AI tailor its questions to your background.

3

Check your assigned tasks

Navigate to "Tasks" from the sidebar. Here you will see knowledge topics assigned to you by your manager. Select the task you want to work on.

4

Upload supporting documents (optional)

If you have reference materials (PDFs, images, diagrams), upload them before starting the interview. The AI will use these as context to ask better follow-up questions.

5

Give recording consent

Check the consent box to allow session recording and transcription. A text transcript is always generated. All data is stored securely on STACKIT infrastructure in Germany.

6

Start the interview

Click "Start Interview" to begin. The AI will greet you and start asking questions about your topic. Speak naturally — the system handles pauses, interruptions, and follow-ups.

7

Share your knowledge

Answer the AI's questions in your own words. It will probe deeper on important points, ask for examples, and clarify ambiguities. You can share your screen if visual context helps.

8

End the session

When you are done (or the topic is covered), click the end-call button. The system will process and distill your conversation into structured knowledge.

9

Review and approve

After the session ends, you will see a summary of the distilled knowledge. Review it for accuracy, make corrections if needed, and approve it. Only approved content becomes part of the permanent knowledge base.

10

Use the knowledge chat

Open the Chat in the sidebar to query the knowledge base. Ask questions across all projects or filter by specific ones. The RAG system retrieves relevant chunks from documents and past interviews.

Tips for a good interview

  • Use a quiet environment with a good microphone for clear audio.
  • Speak in complete thoughts — the AI understands context better with full sentences.
  • If the AI misunderstands something, correct it. It will learn from the correction within the session.
  • Reference specific examples, numbers, or process steps — concrete details make the knowledge more useful.
  • Don't worry about structure. The distillation step organizes your knowledge after the conversation.
